Inventory/Schedule of Condition

You should check the inventory/schedule provided with your tenancy agreement carefully. Particular attention should be paid to the condition of the articles, as this can be an area of potential dispute between the landlord and tenant at the end of the tenancy. Note the state of the carpets, curtains and other soft furnishings, as well as more obvious items such as cleanliness of WC, pans, cookers, fridge etc (otherwise a charge could be made).

You must ensure that this is checked, and any corrections that you believe necessary should be noted clearly. The inventory/schedule must be signed and returned to Ford Property Services at the address below within forty-eight hours of receipt, otherwise the original unaltered document will be referred to on check out.

Utilities

The gas, electricity, council tax, and water rates are the tenant's responsibility as well as any transfer charges, deposits etc connected with this. It is in your best interest to notify these companies as soon as possible after moving in. A list with the appropriate contact addresses and telephone numbers will be given to you on the date of signing the tenancy agreement. Take a meter reading where possible.

Insurance

The tenant should insure his personal items. The landlord is responsible for insuring anything that belongs to him including the property but cannot accept any responsibility for tenant's personal possessions.

During the Tenancy

Read any manuals supplied for appliances to see if there are any particular contracts for the central heating unit, washing machine, dishwasher and other appliances before calling someone out. Remember, an unnecessary call-out could result in a charge being made. Better still; telephone the agent to check the correct procedure.

Read any useful information notes or manuals the landlord has left at the property. Particularly, note what to do in the event of repairs (for example, calling out a repairer to mend central heater unit could cost the tenant £50, if it is later discovered that it is already under service contract). If unsure, telephone the agent first to check procedure.

For all repairs such as plumbing, electrical and building problems, contact our office first so that we can send a workman, unless the owner has left instructions to the contrary. The direct number for our Maintenance Department is (023) 9261 0260.

Inspections

During the tenancy, a full inspection of the property will be carried out within the initial term, and periodically thereafter.

If, like 95% of the tenancies, everything is neat and tidy, no additional inspections will be made, but the right is reserved to increase the number of visits, commensurate with good business practice, to ensure properties are maintained to a good standard. Normally the property management/letting department will contact the tenant(s) a week to ten days ahead of an inspection, giving plenty of notice. It is not necessary for the tenant to be in attendance, unless he/she specifically wished to do so. Inspections will be carried out within normal daily working hours.

Giving notice/changing tenant

Strictly speaking, unless there is a break clause, the legal tenant cannot escape liability for the full period of the tenancy (the first six months of the agreement).

In the event of sharing tenants wishing to change one, or some, of the occupants, then we require one month's written notification from the appropriate tenants vacating the property, and will only accept a replacement providing that a reference application form has been completed and satisfactory references taken up within the notice period.

Renewing the Agreement

It is usually possible to renew your tenancy agreement for a further fixed period of six months. If you would like the certainty of an extended fixed term tenancy it is suggested you contact us as early as possible before the expiry of the agreement in order for us to investigate this within this period.

If you do not wish to renew your agreement your tenancy for an extended term, the tenancy will convert into a periodic tenancy. This means if you are happy with the property, are paying the monthly rental sufficiently and no problems have occurred with the tenancy, then you may reside at the property until further notice or until you wish to vacate.

Please bear in mind that that you will be liable to pay the rental to the end of this fixed agreement term and other costs due if your circumstances change and you need to vacate the property.

End of the Tenancy/Expiry of the Tenancy

If you wish to vacate the property in all circumstances we require one month's written notice, along with any contact telephone numbers and forwarding addresses you may have.

Before the tenancy ends, furniture should be moved back to its original position (if applicable) otherwise the 'check-out' may take a considerable time and further costs will be incurred.

The biggest area of potential discontent between landlord(s) and tenant(s) is the condition of items, and, to this end, the carpets, bedding and curtains etc; dry clean the curtains (if taken to a launderette they could shrink), check the cleanliness of the entire property, paying particular attention to the fridge, cooker, WC, bath etc. If all this is done the 'check-out' should go relatively smoothly.
